The use of www.georgsorden.eu including all sub-websites (hereinafter referred to as the “site”) is basically possible without providing personal data. The owner and operator of the site is the Society of Knights of the Order of St. George (OSG) with its headquarters in Vienna and the business address 1030 Vienna, Rennweg 10, registered in Register of associations of the State Police Directorate Vienna under ZVR number 272649786 (hereinafter referred to as “OSG” for short).
Different regulations apply to the use of individual services of the site (in particular the member area), which are explained separately below in this case. Your personal data (e.g., name, address, e-mail, telephone number) will only be processed by us in accordance with the provisions of Austrian and European data protection law. Data are personal if they can be clearly assigned to a specific natural person. No personal data is collected automatically.
The following regulations inform you about the type, scope and purpose of the collection, use and processing of personal data by OSG.
1. Member area
1.1. The use of the member area is directed at a restricted group of addressees defined by OSG. The prerequisite for the use of the member area shall in any case be membership of OSG. Irrespective of this, OSG reserves the right to exclude individual members from using the member area in whole or in part.
1.2. The Member Area is used (i) for the administration of the Members (ii) as a database on the Members of OSG which can be viewed by all Members and (iii) for the administration of appointments, whereby, depending on the authorisation level assigned to you, various authorisations exist for the use of the Member Area.
1.3. When you register for the members’ area, your IP address and the date and time of your registration will be stored. This serves as a safeguard for OSG in the event that a third party misuses your e-mail address and registers for the member area without your knowledge. Registration for the member area takes place in a double opt-in process. After registration, you will receive an e-mail asking you to confirm your registration. This confirmation is necessary so that no one can register with a non-identified e-mail address.
1.4. By registering for the members’ area, you agree to this privacy policy and thus give your consent to the electronic processing of the following personal data required for the use of the members’ area and to be provided during registration:
- Last name including all titles and academic degrees
- First names
- Date of birth
- Date and place of admission
- Names of the warrantors
- Type of employment or position with employer
- Employer including address
- Home adresse
- Telephone numbers (personal and business)
- Fax numbers (personal and business)
- Email adresses (personal and business)
- Photo
- Commandery assignment
- Function in the Order
If you provide additional, non-mandatory data during registration you also give your consent to the processing of this personal data upon completion of the registration.
1.5. Based on the data collected under section 1.4, a profile visible to all members registered in the member area (hereinafter referred to as “registered members”) of OSG will be created (hereinafter referred to as the “profile”), which will be activated for your use after final verification and assignment of an authorisation level by OSG. All registered members can search for your profile on the basis of the data you have stored in the profile and view it and the data you have stored. By completing registration, you expressly consent to such use and processing of your personal data in accordance with this clause 1.4.
1.6. In addition to being used as a viewable member database, the OSG member area is used for member administration. In this context, you give your consent to the Chancellor, Procurator, Treasurer, Commander, Vice Commander and the Government of the Order (hereinafter referred to as the “Administrators”) for the following use and processing of your personal data upon completion of the registration:
- Assigning and viewing personal documents to your profile, such as in particular documents of admission, appointments.
1.7. The members’ area also serves to plan OSG events. For this purpose, the administrators announce events in the calendar provided for this purpose (hereinafter referred to as the “calendar”). By participating at an event announced in the calendar, you agree that the data stored in your profile will be entered and used in a list of participants for the respective event that can be viewed by all registered members.
1.8. OSG offers all registered members the possibility of being informed by e-mail about mailings and invitations to events announced in the calendar (hereinafter referred to as the “Newsletter”). The Newsletter will be sent to the e-mail address you have entered in your profile. You can cancel your subscription to the Newsletter at any time. Details of this can be found in the confirmation email sent during registration and in each individual newsletter.
2. Cookies
2.1. In order to make the site user-friendly and to enable the use of certain functions, we use so-called cookies. These are small text files that are stored on your end device and save certain settings and data for exchange with our system via your browser.
2.2. OSG uses both cookies that are deleted at the end of a browser session (session cookies) and cookies that are stored on your terminal device and enable us to recognise your browser on your next visit (persistent cookies).
2.3. Please note that certain cookies are already set as soon as you enter the site and cookies can also contain personal data. By confirming the cookie notice displayed to you during your first visit to the Site, you consent to the use and processing of cookies in accordance with this Agreement.
2.4. You can set your browser in such a way that you are informed about the setting of cookies and decide individually about their acceptance or exclude the acceptance of cookies for certain cases or in general. - Functional cookies: These cookies are used for certain functionalities of the site, e.g., to suggest a better navigation flow on the site, to show you personalised and relevant information (e.g., “interest-based advertisements”).
- Targeting cookies: These cookies record your visit to the Site, the individual pages you have visited and the links you have followed. OSG will use this information to tailor the site and the advertisements you see to your interests.
3. Google-Analytics (with anonymisation function)
3.1. OSG uses Google Analytics, a web analytics service provided by Google Inc, 1600 Amphitheatre Parkway, Mountain View, CA 94043 USA, (hereinafter referred to as “Google”). Google Analytics uses “cookies”; the information generated by cookies, for example the time, place and frequency of your website visit including your IP address, is transmitted to Google in the USA and stored there.
3.2. OSG uses Google Analytics with an IP anonymisation function on the site. In this case, your IP address will already be shortened by Google within member states of the European Union or in other contracting states of the Agreement on the European Economic Area and thus anonymised. Google will use this information for the purpose of evaluating your use of the website, compiling reports on website activity for website operators and providing other services relating to website activity and internet usage. Google may also transfer this information to third parties where required to do so by law, or where such third parties process the information on Google’s behalf.
3.3. Google will not, according to its own information, associate your IP address with any other data held by Google. You may refuse the use of cookies by selecting the appropriate settings on your browser, however, please note that if you do this you may not be able to use the full functionality of this website.
3.4. Furthermore, Google offers a deactivation option for the most common browsers, which gives you more control over which data is collected and processed by Google. 4. Information in accordance with DSGVO
4.1. All personal data collected from you in the course of registering for the member area shall be stored by OSG for a maximum of one year after the termination of your membership with OSG, provided that there is no legal obligation to retain such data.
4.2. OSG points out that you may object to the future processing of your personal data in accordance with the legal requirements pursuant to Art. 21 DSGVO at any time. The objection can be made in particular against the processing for purposes of direct advertising. OSG also points out that you have the right to have incorrect data corrected or personal data deleted, provided that this claim does not conflict with any legal obligation to retain data.
